How to Set Up Personal Training in Gymdesk

If you're offering personal training at your gym, Gymdesk makes it easy to schedule sessions, manage memberships, and track attendance. Follow this step-by-step guide to set up personal training efficiently.

Step 1: Set Up the Personal Training Schedule

To ensure flexibility and ease of scheduling, create generic personal training sessions. This allows you to swap members in and out as needed.

  1. Navigate to Gym -> Schedule in Gymdesk.
  2. Create a New Session and label it with a generic name like "Personal Training Session" 
  3. Set the Booking Availability to show to managers only (unless you want training clients to be able to book online)
  4. Define the Session Details (e.g., duration, trainer, and capacity).
  5. Save the Schedule select create to add to your schedule.

Step 2: Set Up a Recurring Membership for Personal Training

To simplify billing and ensure members are charged correctly for personal training, set up a membership that includes a monthly limit of sessions.

  1. Go to Memberships > Create New Membership.
  2. Set Membership Pricing Type to Recurring.
  3. Define the Duration e.g., 1 Month.
  4. Set Session Limits e.g.12 sessions per payment.
  5. Adjust Pricing and Payment Details to match your gym’s rates.
  6. Save the Membership and add it to relevant members.

Step 3: Booking Members Into Sessions

Once a member has purchased a personal training membership, they need to be scheduled for their sessions.

  1. Go to the Schedule.
  2. Click book on a session and enter in the member's name.
  3. Select to make recurring if this is a recurring booking.  
  4. Confirm the Booking so it reflects in their account.

Step 4: Create a "Meet & Greet" Visitor Sign-Up Form

For potential clients interested in personal training, it's beneficial to have a sign-up process that includes a waiver without requiring payment.

  1. Navigate to Settings > Members > Sign Up Forms.
  2. Name the Form (e.g., "Personal Training Meet & Greet").
  3. Set the default type to visitor to allow interested clients to sign up as a visitor, which will not count towards you member total
  4. Include a Waiver Agreement to ensure legal coverage.
  5. Select to not show membership selection & payment to allow free sign-ups

By implementing this process, you can streamline personal training scheduling, simplify membership management, and provide a seamless experience for both new and existing clients.
